What is recruitment?

The process of identifying and selecting a person to fill a specific job role.

Give three situations in which a business needs to recruit.

When it is setting up, when it is growing or entering new markets, and when employees leave.

Give the three main benefits to a business of an effective recruitment and selection process.

High productivity, high quality output or customer service, and staff retention.

What is productivity?

The amount of work produced by a person in a given time.

What is staff retention?

When staff are happy to stay working at the same firm rather than leaving to find alternative employment.

What are the main stages of the recruitment and selection process?
e.g. a café needs a new barista

  1. Identify the vacancy and carry out a job analysis — the café needs one barista.
  2. Write the job description and person specification, then advertise — the advert lists the duties and skills needed.
  3. Collect applications, shortlist, select and appoint — the best applicant is offered the barista job.

What is job analysis?

The process of collecting and interpreting information about a job vacancy to determine the type of person needed.

What is the difference between a job description and a person specification?

A job description lists the duties of the job (title, pay, hours, location, reporting line); a person specification describes the education, skills and experience the applicant needs.

Give two methods of internal recruitment.

Advertising on a noticeboard in the staffroom and using the intranet or internal email (also newsletters or word of mouth).

Give two methods of external recruitment.

Advertising at a job centre and advertising in a newspaper (also using an employment agency).

Give two benefits to a business of internal recruitment.

Current employees already have experience of the business and know the other employees; it is cheaper as there is no need for external advertisements.

True or false? Internal recruitment gives a business a wider pool of applicants than external recruitment.

False. Internal recruitment gives only a limited pool; external recruitment gives a wider choice and brings new ideas and skills into the business.

What is a shortlist?

A list of applicants who meet the criteria for the job role and are likely to be interviewed.

What is a CV?

A personal document containing an applicant's skills, experience, qualifications and hobbies.

What is an assessment centre?

A selection method where applicants complete several tasks, such as role-play, psychometric tests, interviews and practical tasks.

Give two ways a business can use the person specification when recruiting.

To shortlist applicants by matching them to the essential and desirable qualities listed, and to create interview questions or design the job advertisement.

True or false? A group interview is when one applicant is interviewed by several managers.

False. A group interview is when a number of applicants are interviewed at the same time.

What is a contract of employment?

A legal agreement between employer and employee setting out the terms and conditions of employment.

What is the difference between a full-time and a part-time employee?

A full-time employee works a full working week (usually 35–40 hours over five days); a part-time employee works fewer hours than the normal working week (usually 10–30).

What is a job share?

When two or more employees combine to fill one job role.

True or false? An employee who moves from full-time employment to job sharing keeps their current salary.

False. They keep the same job role along with someone else, but not their full salary or hours.

Give two benefits to a business of employing workers on part-time contracts.

It can employ staff only when demand is high, reducing wage costs, and it widens the pool of applicants as part-time work fits around people's other commitments.

True or false? A zero hours contract means the employee has no set or guaranteed hours of work.

True. The business offers hours as needed, so the employee has no job security or regular income.

What are the steps to recommend and justify a recruitment method for a business?

e.g. a growing bakery needs a new shift supervisor

  1. Look at the business's situation: it already has trained counter staff who know the bakery.
  2. Choose a method and give a benefit: internal recruitment, as promotion motivates existing staff and saves advertising costs.
  3. Weigh one drawback and conclude: the pool of applicants is smaller, but the supervisor role is best filled internally.
